Membership Secretary/Receptionist

Reports To: Senior Director of Worship & Communications
Status: Part-Time Hourly, 24 hours, 4 days week. Hours are 9 AM to 4 PM with a one hour lunch.

Position Summary: The part-time receptionist/membership secretary provides receptionist duties and administrative duties on behalf of St. Paul United Methodist Church. They do so in a positive, enthusiastic manner displaying the shining light of Jesus. This includes, but is not limited to, communication, membership, database management, facility use and supporting the work of the ministry team leaders.

Essential Duties and Responsibilities:

  • Oversee phone system, including updating messages, forwarding calls, and answering phone.
  • Assist walk-in visitors.
  • Process hospitalizations, prayers, illnesses, deaths, and visitation requests.
  • As Membership Secretary, maintain and update membership records taking primary responsibility for the annual Membership Audit, Membership Reading Lists and status letters.
  • Manage follow up with potential members, prospects and guests.
  • Create and use automated workflow using church management software for processes related to membership, visitors, pastoral care needs, discipleship, class, and charge conference.
  • Office volunteer recruitment, training, supervision, and coordination.
  • Order office supplies, discipleship materials, and other items as requested.
  • Coordinate reservations, calendar, HVAC scheduling, church vehicle use, and facility requests.
  • Oversee office equipment and its maintenance needs including coordination with vendors and repair technicians.
  • Sort, date stamp, and deliver mail.
  • Manage church electronic and hardcopy files.
  • Any other duties as requested.

Education and Experience
A college degree is desired but not required. 2+ years’ experience working in a fast-paced office is preferred. Proficiency in Microsoft Office Suite with the ability to learn new software as needs arise. Highly organized. Able to be self-directed and work independently. Self-motivated, enthusiastic, maintains confidentiality, and can effectively multi-task. Possess excellent communication verbal and written communication skills; organizational skills; ability to stay on task; meet deadlines; and follow through on assignments. Have knowledge of the campus and its activities. Must be comfortable with technology usage as well as open to keeping on top of technological advancements that may lead to improvements on campus. Candidate should be able to walk, stand, climb stairs, and move boxes weighing up to 30 pounds short distances onto rolling carts or into the office work room.
